We are looking to add the following position(s) to our growing Team:
Office Manager (Full Time Position)
As the Office Manager, you will work closely with the Principal and Staff to ensure the office runs smoothly. You will be responsible for managing all administrative duties and coordinating multiple activities and schedules. The ideal candidate will have 2+ years’ experience in office administration, ideally within a design-oriented office. You possess strong organizational, problem-solving, and coordination skills, with an ability to manage multiple priorities with independence and good judgement. You can communicate effectively, orally and in writing, with diverse groups such as subconsultants, vendors, and a variety of clients.
More specifically, we are looking for applicants who are excel in the following responsibilities and roles:
· Experience in office administration and supervision; experience within a design office is considered an asset.
· Adept at working in a high-energy, team environment in an intimate office setting.
· Maintain and refine office policies and procedures, and ensure they are implemented appropriately and consistently.
· Adept at bookkeeping, invoicing, and preparing financial statements in collaboration with the Office Accountant and Principal.
· Helping to support a creative and inclusive office culture and environment.
· Helping to organize team outings, team-building events, liaising with product reps etc. throughout the calendar year.
· Maintain and manage the project management system and related software, as well as basic software/hardware maintenance and upkeep.
· Working closely with the Principal, you will be responsible for searching for potential proposals and helping to prepare them at a range of fees from single-family residential projects to large multi-year multi-phase development projects.
· You will also help manage marketing efforts, social media and branding materials in conjunction with LOCI’s website master.
Technical Qualifications:
· Excellent written and oral communication skill.
· Strong organizational skills.
· Experience with office organization, timesheets, project tracking software (ie. Function Point or equivalent)
· Prior experience using various social media platforms, Mailchimp, Instagram, Squarespace. Prior experience with marketing / social media outreach and website management is considered an asset.
· Proficiency with MS Office (ie. managing spreadsheets and documents in Excel, Word) and Adobe Creative Suit (ie. proposal writing and composition using InDesign) is required.
· Prior experience in proposal research, writing and composition is a preferred asset.
· Knowledge / background in landscape architecture objectives, ideas, current issues and design language is considered an asset.
